Start with the complete City-issued record number and Gaithersburg’s documented PPL Search route. If the record or file is missing, distinguish a missing search entry from a My Work filter or an inaccessible attachment before requesting a copy. A permit status or attachment does not mean final inspection passed or occupancy approval was issued.
Use the record number before diagnosing the gap
The City’s Permitting & Inspections page directs readers to its online system for City-issued permit status and details. For the oldest online year, archive completeness and attachment access, ask Permitting & Inspections.
The City’s PPL FAQ documents Search with a record number. It separately describes opening a record from My Work after login. Keep the full number and record type together; if the number is missing, ask for it rather than guessing from the address.
Match each failure to a different next action
Work through the failure that actually occurred:
- Public Search returns no matching entry: Recheck City jurisdiction, the complete record number and record type. Ask Permitting & Inspections about the named City permit.
- The record is absent from My Work: If logged in, check the documented All display filter before treating the account view as empty.
- The record appears but an attachment is inaccessible: Preserve the attachment title. Check login/contact linkage and use the documented PPL support route.
- A named older document is still unavailable: Request that existing City-held item through the official public-information route, with its number and date range.
Treat each path as its own result. Each one leaves a different record or access question unresolved.
Resolve a fictional missing-attachment file
Consider an invented project folder whose cover sheet cites a City permit number and an inspection document. A record entry is available, but the cited document is missing. The example is invented.
The entry answers where the permit is tracked; the inspection document is a separate file. Write down the missing attachment’s title and date, plus what happened when you tried to open it. Keep an inaccessible link separate from a file that is missing from the list entirely.
The FAQ’s printer advice concerns opening an existing attachment; whether a file exists is a separate question. Its address workaround belongs to entering an application location. Old records come through a records request rather than a new application.
Escalate the named permit or attachment first
For permit-record help, the City lists 301-258-6330 and permitting@gaithersburgmd.gov. For PPL access support, the FAQ lists plancode@gaithersburgmd.gov and the same phone number. Give the complete record number, record type, project or work description, approximate date and exact missing attachment. These are useful matching clues.
Follow the City’s published instructions for the PPL search.
Request an existing City-held copy when support cannot supply it
Gaithersburg’s public information request page provides an online request link and a written City Clerk route for existing City-maintained records. It asks requesters to identify records specifically; this is a copy route for existing records.
Name the permit or attachment, full record number, approximate date range and where the missing item is referenced. City Clerk assistance is cityclerk@gaithersburgmd.gov or 240-805-1084. A written request can be directed to the City Clerk at 31 South Summit Avenue, Gaithersburg, MD 20877. Ask the City Clerk about fees, deadlines and delivery when you file.
Keep City custody and construction completion separate
A Montgomery County search can miss a City-issued permit. The Montgomery County older-permit guide explains that jurisdiction boundary; the Gaithersburg PPL and City Clerk routes remain the source for City-issued permits. Confirm the issuing jurisdiction rather than relying on the mailing-city name.
If the real question is whether work passed final inspection, use the final-inspection status guide and the actual inspection record. A permit status, accessible attachment and occupancy record answer different questions.
Treat a blank landing page, missing search entry, hidden My Work item and inaccessible attachment as separate access states. Preserve the exact failure and ask for the record that resolves it.
