Fairfax County Missing Inspection Photos and Action Records

If an inspection photo is missing, identify the event by permit number, inspection type and date. Ask LDS for any retained media and the existing County action recorded for that inspection.

The County’s Land Development Services records page says submitted inspection photos and videos are deleted upon documentation of official County actions or determinations. Deletion is not described as preceding action or applying to this image. Nor is a particular action record guaranteed to survive or be released.

Build one inspection key before asking for a copy

The PLUS building search screen documents record number, street-address and parcel-ID inputs. The County’s PLUS FAQ says searching and browsing do not require an account. Use a known record number where possible; preserve an older FIDO-style number exactly as written rather than silently converting it.

Inside a PLUS record, inspections appear under the Record Info menu. The PLUS FAQ says the Record Summary shows completed inspections and can be used to satisfy occupancy requirements, so check it before asking for a copy. For a permit that predates PLUS, the County’s Land Development Information History (LDIH) consolidates building, site, zoning and complaint information from older County systems and holds only records uploaded before the PLUS launch.

  • Record identity: copy the permit or plan number and the address as the file shows it. Keep a former number alongside a newer one if the paperwork itself connects them.
  • Event identity: write the inspection type, date and any displayed result or notice reference. If the date is uncertain, label it approximate rather than choosing a nearby visit.
  • Missing object: specify whether the gap is the submitted photo, the official action, a correction notice or a later final inspection. Ask for one identified existing record at a time.

This key keeps two questions apart. A later pass, an issued permit or a certificate should not be substituted for the result of an earlier named inspection without a record that joins them.

A fictional date mismatch changes the request

Imagine a fictional permit F-204 whose folder lists a framing inspection on May 4 and another on May 18. A saved email mentions photos from May 4, but no images appear in the packet. Suppose the County returns a May 18 result. That reply may answer the later event; it does not identify the May 4 action. Keep both dates and ask specifically for the existing May 4 inspection result, determination or related notice, if held. These dates and permit number are invented, not a Fairfax County search result.

If the response says no May 4 record was found, keep that answer with its search scope. Ask whether a different record number or inspection label appears on the original email. A missing photo does not prove whether the earlier inspection passed, failed or occurred. A no-result response or a later inspection does not settle that earlier event either.

Request the named existing action through LDS

The County’s LDS records-request form lists building and site inspections among existing records. It accepts property location, permit number, plan number and a detailed description; the page also provides LDSFOIA@fairfaxcounty.gov. A focused description can say: ‘For permit F-204, please search for the existing framing-inspection action or determination dated May 4 and any related notice. The photo is absent from my packet; I seek the dated County record, not a new inspection.’ Substitute only real identifiers from your own file.

The request page says delivery depends on records existing and applicable law, and actual-cost charges may apply. Its form includes a Virginia-residency question. These instructions do not decide a particular person’s access or the County’s response. If the record number or inspection date is missing, give the best known clue and ask LDS what identifier would narrow the existing-file search.

If you would rather ask before filing, Land Development Services answers at 703-222-0801 (TTY 711), Monday through Thursday 8 a.m. to 4 p.m. and Friday 9:15 a.m. to 4 p.m. The office is at 12055 Government Center Parkway, Suite 324, Fairfax. Have the permit number and inspection date ready.

Interpret the response at its actual scope

The Fairfax PLUS and older-records guide explains the wider permit-file trail. The Fairfax final and site-closeout guide addresses later completion papers. Neither a permit hit nor a closeout paper by itself answers which action was documented for this particular inspection. If LDS identifies a notice or determination, preserve its date and scope beside the inspection key; do not stretch it into a current safety or occupancy conclusion.
