Match each Facility ID to its CAR issues and signed MAR, then confirm County closure. Keep the County response or confirmed inspection status beside the maintenance evidence for the same facility.
Separate each Fairfax facility in a shared NOI packet
The County page describes Maintenance and Stormwater Management Division (MSMD) inspections as visual snapshots, not full structural analyses. Use notice or map IDs. The Notice of Inspection (NOI) can bundle Condition Assessment Reports (CARs), photos, maps and MARs for multiple facilities.
Treat the site as the envelope and the facility as the unit of work. An address or parcel description can help explain where a folder came from; the Facility ID is the key that ties the papers together. Copy the IDs from the actual notice or map before comparing any photograph or response.
For each facility, write the notice date, Facility ID, each CAR issue and the page that describes the owner's response. Keep each photo with the facility it was filed under, even when equipment looks similar. If a plan number or facility label differs, preserve the mismatch and ask which record belongs to which inspected feature.
Read the MAR response item by item
A signed Maintenance Activity Report (MAR) is needed for each facility and every CAR issue, with photos; a phone explanation doesn’t replace it. A signed page with no clear link to the listed issue may leave the reader unable to tell what was fixed.
Use three questions while reading the packet:
- Same facility? Does the MAR identify the Facility ID on this notice, rather than only the broader site or address?
- Same issue? Can each CAR item be connected to a response, with a date and any supporting image kept in context?
- Same inspection? Do the response and County follow-up refer to the notice you are evaluating, rather than a later routine visit?
Consider a mailing that names Facility 04 and Facility 05; these numbers are illustrative. The owner supplies a signed MAR and photos for Facility 04. That packet answers Facility 04 only. Mark 05's response unknown until its own document is found or MSMD explains the file.
Three dates to tell apart: work, MAR submission and County closure
The County closes an inspection after receiving a response showing all required maintenance complete, until the next regular cycle. That sequence separates three dates a folder may contain: work performed, MAR submitted and County closure. If the packet ends at submission, label it submitted until the County status is confirmed.
A Private Maintenance Agreement (PMA) and annual owner reports concern continuing maintenance. They help identify the facility and what the owner must keep doing, while closure of a particular inspection comes from the County. An unanswered CAR item from an earlier notice stays open unless the County ties later paperwork to that inspection.
If the documents concern a building permit's final or site closeout, the Fairfax building final and site-closeout guide addresses that different record chain. A stormwater maintenance inspection covers the facility only; building finals and occupancy approvals sit in the permit file.
Request the missing inspection status from Fairfax MSMD
When the final County status is absent, use the MSMD contact on the official page. State the Site ID, Facility ID, notice date and the CAR item that still lacks a matched response. A focused question is: “For this inspection of Facility [ID], did the County receive a complete MAR response for each listed issue, and what record shows whether this inspection was closed?”
If no older copy is available in the packet, ask for the identified notice, CAR or MAR before asking for a broad property history. Ask MSMD what closure record it issues and how far back its files go. A document missing from a personal folder leaves the question open in both directions: maintenance may have happened, and the County may have closed the inspection.
In the Fairfax address-change acceptance guide, MAR means Master Address Repository, an addressing record. Match the acronym to its agency and document title before joining two files.
A closed inspection describes that dated visual inspection. For the facility’s present condition or safety, ask MSMD for its current information.
